B. Discuss/Approve proposals from MCCi for Licensing, FOIA tracking, and Laserfiche software, a FY27 budgeted item.
The City already utilizes Laserfiche, so for that item, at the same cost, we are transferring our maintenance agreement from the current company we use to MCCi so everything is under the same roof. Laserfiche is essentially a digital file cabinet that allows us to keep digital copies instead of paper copies. Having that ability certainly will help manage the volumes of documents we are required to keep. Furthermore, Laserfiche is a bit like excel, we are only scratching the surface of what it can do, so with this transition to a new company, I'm excited to learn how we may be able to better utilize its capabilities. The Licensing software will be utilized by the City Clerk's office to manage the licensing and renewals for Liquor, Gaming, Trash Operator, Cab Operator, and any future licenses that may come into play. Tammy requested software as the process has grown, as new businesses have opened. Liquor and Gaming, both renewing in January, have become a huge burden. This software suite will allow them to manage those processes digitally, making it easier for them and on our businesses who can simply renew by carrying over the previous year's information, making any updates, and submitting. We can also take payments through the portal as well. This suite will also utilize Laserfiche by automatically pushing applications into an organized repository making it easier to find and reference in the future. Lastly, JustFOIA is a service we've likely needed for a while, but it will help staff, between departments, track the progress of FOIA responses. Additionally, those requests and responses will be stored in Laserfiche for future reference and forwarding if similar responses are received. Staff looked at two software suites for these services, and ultimately chose MCCi's offerings on both services. This is certainly a big step forward once implemented and it should make these processes easier on our staff, relieve future storage needs, and make things easier on our businesses. | reports=1
